Stale and scheduled reminders can be set on pages and files. Once triggered, a reminder sends a message to you or a group which you are part of, asking you to look at that file. Reminders can be one-time or set to repeat periodically.
To set a reminder on a file:
- In Content > Pages, hover over the file and select Edit > Reminders.
- While viewing a page, click Properties in the top toolbar and select "Reminders" from the left-hand menu.
Once set, reminders can be edited in the same way. To clear a reminder from a page, open the "Reminders" box and then deselect the checkbox for that reminder.
The "Reminders" box has two tabs, "Scheduled Reminder" and "Stale Reminder."
Scheduled reminders send a notification at a specific date and time. For example, a tuition page or schedule that needs to be updated at a certain time might have a reminder set to notify you when it's time to make changes.
When making a scheduled reminder, set the date and time for the reminder to notify you. You can also set the reminder to repeat periodically, starting from the scheduled date.
Choose to whom the notification will be sent. Setting a subject and message for the notification is optional but recommended, especially if the reminder is scheduled for a ways in the future.
Stale reminders are used to make sure content on a page is being updated periodically. If a page hasn't been published for the amount of time you set, the reminder triggers a notification. Any type of publish, including if the file is published as part of a site or folder publish, or if an asset republishes it, resets the reminder timer.
To set a stale reminder, choose the interval since the last published date that triggers the notification. The stale reminder checks from the last published date and time, not when the reminder was set. After a stale reminder has been sent, the reminder continues to be sent until the page has been published again, at the same time interval (e.g., if a page is stale after one week, OU Campus sends a stale reminder every week after the initial reminder).
Choose to whom the notification will be sent. Setting a subject and message for the notification is optional but recommended, especially if the reminder will not be triggered for a long while.
