Tags

Tags are used to sort and filter pages and files and assets in OU Campus to make them easier to locate (this does not affect search on your live website), and can be applied to component content as well. They can be grouped into collections. Collections are added to content like tags, applying every tag within that collection.

Once created, tags and collections are applied to files in the file properties and to folders in the tag access settings.

Setup > Tags shows every tag and collection in the account.

New tags can be created directly in page parameters, if the available tags aren't restricted by tag access settings, but they can also be made in Setup > Tags. To create a new tag from this view:

  1. Click the green +New button.
  2. Choose "Tag" for the type.
  3. Enter the tag. Tags can include lowercase and uppercase letters, numbers, spaces, punctuation, and special characters.
  4. Click Create.

Collections are created and managed from Setup > Tags. A new collection can be made in two different ways:

  1. Click the green +New button.
  2. Choose "Collection" for the type.
  3. Enter a name. Collections and tags can't share names.
  4. In the "Tags" field, enter all tags you want to group. Matching suggestions from existing tags are provided, but you can also create new tags by entering them here.
  5. Click Create.

Alternatively, when viewing the list of existing tags, select all tags you want to group and click "Create Collection" from the blue header bar.

While viewing the list of tags, hovering over a tag brings up three options:

  • Edit: Change a tag, or change the name of a collection and the tags it contains. If a tag is changed, it is automatically changed on any pages or assets it is applied to.
  • Disable: Disabling a tag or collection makes that tag or tags within that collection unavailable for addition to content. If a tag already in use is disabled, it isn't removed from content, but can't be used as a filter in searches. Disabled tags appeargreyed-out.
    • Make a disabled tag available again by hovering over it and clicking "Enable." Any instances of the tag still on content becomes functional again.
  • Delete: Permanently removes a tag from all existing content.

Multiple tags can be disabled or deleted at a time by selecting them via the checkbox and selecting the appropriate option in the blue header bar.

Tags can also be merged together. Merging tags combines two or more into a single tag, replacing all merged tags in use with the singular tag. Collections cannot be merged. To merge tags:

  1. Select the tags you want to merge via checkbox.
  2. Select "Merge" from the blue header bar.
  3. Choose a tag from the dropdown to merge into. You can only choose a preexisting tag.
  4. Click Merge.

The tags that were replaced are disabled, and enabling them won't restore them to any content they were applied to.
